Importance of the Request For Information (RFI)

When it comes to construction and building projects, accuracy and reliability are everything. Because of this, a simple Request For Information (RFI) becomes paramount to a project as it can help clarify specifications or measurements. Going forward on a project without confirming exact requirements and options is tantamount to negligence. It is vital that you pay heed to the RFI before you proceed to the next step.


The process of issuing an RFI is not necessarily complicated in itself. It is basically a formal request for clarification on a technical question or issue, such as a contractor querying a designer for further information on a drawing or design. An RFI could involve anyone in abuild project such as local authorities, government bodies, contractors, subcontractors or stake holders. But, as seemingly simple as it may seem when taken at face value, if ignored, it can lead to substantial negative implications for the project as a whole. The act of submitting an RSI could save lots of time and money, although extra fees may be incurred during the question and answer process of an RFI. Care should always be taken to ensure that all the information is provided upfront to reduce the need for an RFI and minimise the wait time.


An RFI query is usually sent electronically to a recipient by way of a standard form. The response is then provided within an agreed time to move the project along in an acceptable fashion. The RFI response will enable a concrete decision to be made or, at the very least, allow options to be refined.


If an RFI is effectively answered then the case can be closed, the information noted and the appropriate paper trail filed away as necessary. If the RFI raises additional questions, then a meeting should be created either over the phone or in-person to avoid sending further RFIs and complicating the paper trail even further.


Failure to send an RFI can halt a project in its entirety. If a shop drawing cannot be completed or exact specifications cannot be determined, then the early phase of the design process is in jeopardy. Issuing an RFI needs to become a standard procedure in the clarification of the design, fabrication and build process to avoid any ambiguity or misinformation. An RFI does not necessarily mean that a contract will follow. It just demonstrates that an individual has exhausted all their resources and it is necessary to pose a question to guarantee prompt closure of an issue.
